Automating access removal in MyU

The process for removing access to the My Advisees and Teaching tabs in MyU has been streamlined and automated. Starting Thursday, April 23, 2026, employment data will be used to identify those who are no longer in an advising and/or instructional role, and will automatically remove access to these self-service functions. In most cases, individuals will not notice this change because they have left the University and their access to University systems has already been limited. 

When individuals are no longer in an advising or instructional role, they no longer have a legitimate educational purpose for accessing private student data accessed through those tabs. Automating this process both aligns with existing practices in Human Resources and helps further ensure data security for student records.

Q: Can an instructor or faculty member share progress information with a student’s advisor?

A: Yes, an instructor or faculty member can share information (e.g., current grades or progress) that the advisor needs to know in order to assist the student. This is within FERPA's "need to know" legitimate educational requirements.

FERPA Q&A

Q: Can a parent join a virtual meeting with a student, such as an advising appointment?

A: Sharing a student’s private information with a parent or other guest is not allowed unless we have written permission from the student. Even though the student may verbally agree to having the parent present, we need to document this with written permission.
