The Portal Team is happy to announce their partnership with IntraSee, Inc. to deliver the University's new myU Portal. IntraSee brings a wealth of portal implementation experience to ESUP. They have worked with many large, complicated entities in both private industry, government, and higher education. They bring significant experience, user-focused technical solutions, and a proven methodology to implement the portal within ESUP's timeline. Through evaluation, the University has deemed this to be the most efficient and sustainable option for portal development and the Program is optimistic they will help deliver the best possible product for the U.
As the team moves forward with IntraSee, they will continue to base their work on the feedback provided by the U community over the last year. Thank you for sharing your time and expertise!

Remarks by First Lady recognize U's financial literacy program
Earlier this month, the First Lady remarked upon the University's One Stop financial literacy program, Live Like a Student, at the College Opportunity Summit. She, along with President Obama, spoke about the effort to help young people pursue an education. In particular, the First Lady recognized the U as not only providing financial aid services but also "committing to expand those services to include financial literacy programs to help students and their families manage the costs of college."

Reminder: continuous enrollment for graduate and professional students
The last day for students to register to avoid discontinuing their student status is Monday, February 3. Program staff who have students requesting permission for GRAD 999, xxxx-8777, xxxx-8666 and xxxx-8888 may issue the necessary permission provided students have met internal eligibility requirements. Students requesting permission for xxxx-8333 and xxxx-8444 should be directed to the Graduate Student Services office at gssp@umn.edu.

100% drop/refund deadline for spring 2014 extended to Feb. 3
Due to the weather-related cancellation of University classes on Monday and Tuesday, the 100% drop/refund deadline for spring 2014 full semester and 1st 7-week session classes has been extended to February 3. All other deadlines will remain the same.
This change has been made to the One Stop website for both undergraduate and graduate courses and Law School courses.

Service outage Wednesday, Jan. 29
Some PeopleSoft applications (HR, Student, and Finance) may experience intermittent disruption for approximately two hours on Wednesday, January 29 beginning at 5 p.m. During this time, the database will be preparing a copy of the data from the PeopleSoft applications to use during testing phases for the Enterprise Systems Upgrade Program (ESUP).
ESUP has worked closely with IT's service owners to minimize disruption across the University. Updated information will be posted to the University's system status page during the two-hour outage.
The list of affected applications include:
- Financial aid status (Truth in Lending Act process)
- Electronic Promissory Note (old version for ULoans and Perkins)
- Electronic Promissory Note (new version for HPL, PCL, NFL, NL)
- eFAAN (Financial aid awards)
- Exit interview

Sneak Peek: New Self-Service Centers in PeopleSoft 9.0
The ESUP Student work stream will be
releasing several new self-service centers in PeopleSoft 9.0. The
following short videos provide an overview on how these centers will
benefit users. The ESUP Student Training Team will be developing more
in-depth tutorials and documentation of this new functionality before

FERPA Q&A: Do records need to be created for former students?
Question: Do you need to recreate or attempt to recreate records for former students?
Answer: If student educational data has been maintained and destroyed according to the University's retention schedule, the University is not obligated to recreate destroyed records. If, however, the record still exists (even if it has been maintained well beyond the required time stipulated in the retention schedule), and a student or former student requests access to it, the record cannot be destroyed.

Academic Advisement update
There was a presentation at the December meeting of the College Advisory Group (CAG) regarding the implementation of the Academic Advisement (AA) degree audit for graduate education as part of the Enterprise Systems Upgrade Program (ESUP). During that presentation it was noted that AA would be configured first for a pilot college before rolling the audit out to the broader graduate education community. For the Twin Cities campus, the College of Education and Human Development (CEHD) will be the first college to participate in the AA implementation. You can find future updates on this effort in the PBED Digest and at the Registrar's Advisory Committee (RAC) and CAG meetings.

Non-degree registration changes
Non-degree students will no longer be able to register via email and will no longer receive a hard copy of any registration materials (e.g., enrollment summary, student ID information, etc.). Students will receive the necessary information for activation via email from One Stop. One Stop will only be processing activation requests received via the "e-registration" form; after students have been initially activated via One Stop, they will be requested to go online and register themselves. These changes will be in effect February 4 for summer and fall 2014 registration. Official communication regarding this change will be sent in the coming weeks.

Welcome GSSP/One Stop student employees!
If you've recently sent an email to gssp@umn.edu, you may have noticed a few new signatures on the responses. David Philbert, Lindsay Page, and Katelynn Brintz will now be providing assistance for day-to-day questions and requests received by the gssp@umn.edu email account. They will primarily be responsible for routing emails to the appropriate GSSP staff member.
David is a sophomore majoring in industrial and systems engineering. Lindsay is a sophomore majoring in neuroscience. Both started in fall 2013 and are One Stop Helping U student workers housed at the front desk of 160 Williamson Hall. Katelynn is a sophomore majoring in biomedical engineering. She started in spring 2013 and is a student worker for the GSSP office in 160 Williamson.
David, Lindsay, and Katelynn have been a huge help to the GSSP team, and they look forward to assisting you in the future.

Continuous enrollment for graduate and professional students
All Twin Cities and Duluth post-baccalaureate students enrolled in a graduate or departmental master's program (excluding Twin Cities MBA students) that have not registered for the spring 2014 term received an email this week indicating they must register by Monday, February 3, or they will be discontinued.
If a student is discontinued and wishes to resume graduate work, he or she must request readmission to reactivate his or her status. It is up to the program or college to determine the best readmission path for a student. In all cases, students should contact the major program for which they are applying.

Deadline for 8444 Advanced Doctoral status
All students who wish to enroll in the 8444 Advanced Doctoral status must take all 24 dissertation credits, pass the prelim oral, and submit their exam form by 4 p.m. today, Friday, January 17, to be eligible for the 8444 Advanced Doctoral status spring term. Full information on 8444 status eligibility and restrictions can be found on the Special Registration Categories page on the Graduate School website.

Postdocs move to Graduate School
The Office of Postdoctoral Affairs has moved to the Graduate School from the Office of the Vice President for Research (OVPR), effective January 1, 2014.
The Office was transferred to the OVPR in July 2009 as part of the restructuring of graduate education. Its return to the Graduate School will enhance postdocs' access to initiatives relevant to both postdocs and graduate students, such as career development, networking and success in scholarly research.
The Graduate School will work collaboratively with the Postdoctoral Association, a separate organization, to improve the quality of the postdoctoral experience. Such collaboration was celebrated in 2009 when The Scientist named the University of Minnesota one of the best workplaces for postdocs, in part because of the strength of mentoring by faculty and opportunities for professional development. Associate Dean of Graduate Education, Melissa Anderson, will coordinate program activities with the postdocs.

One Stop hours changing Monday, Feb. 3
Walk-in hours at the STSS One Stop location will change beginning Monday, February 3, 2014.
At that time, One Stop hours will be 8 a.m.-4:30 p.m. Monday through Thursday. Friday office hours will remain the same (8 a.m.-4 p.m.). This change will ensure the STSS One Stop location is appropriately staffed.
Additionally, the STSS One Stop location will remain open until 5:30 p.m. Monday through Thursday during the first two weeks of spring semester, as well as the week prior to and the first two weeks of fall semester. Office hours at the West Bank and St. Paul One Stop locations will not change.

Registration reminders
Students who did not complete their degree for December 2013 graduation will need to register for spring 2014 to maintain their active status. Students not registered every fall and spring term are considered to have withdrawn, and they will be discontinued from their program.

- Starting January 29, students will need a permission number to add a class to their registration. Programs can give out permission for courses, except 8333 and 8444.
